Teaming up to accomplish one very critical mission, Biogen Idec sought out Structure Tone to manage the reconfiguration of its existing UPS room to accommodate upgrades to the UPS systems and the installation of a second 300kVA, 270kW UPS system with a maintenance bypass cabinet. Through a series of intense meetings, detailed comprehensive narratives, and dry runs of each individual shutdown, we successfully helped Biogen Idec attain its goal.
The Shutdown Process
Intense weekly meetings took place with full team participation, including Structure Tone, Environmental Health & Safety, facilities personnel, subcontractors and IT and lab technicians. These meetings were held to coordinate and schedule all shutdowns appropriately and to ensure the client that their goals were common objectives of all team members.
Comprehensive narratives were developed during these meetings requiring every department's input and schedule. The narratives provided the client with shutdown dates and time requirements, equipment affected and a break down of processes taking place hourly. Each hourly process was broken down into a “part” that displayed a step-by-step list of exactly what would take place during that hour. For example, what would be shutdown, installed, locked-out, tagged-out, removed temporarily, intercepted or disconnected. Each narrative was reviewed by the client before the shutdown took place.
Once the narrative was approved, Structure Tone coordinated a “dry run” with the entire team the day before a shutdown took place. All team members were then physically stationed with a clear understanding of their position, the job that needed to be executed and the amount of time they were allotted for the task. The day of the actual shutdowns, the narrative was used to monitor progress.
